Store Emails

Customize the email notifications sent to customers and merchants throughout the order lifecycle. Configure sender details, personalize templates, and set up SMTP for branded email delivery.

Overview

Vaendora automatically sends email notifications at key points in the order process. You can customize these emails to match your brand and provide relevant information to both customers and your team.

Email Sender Options

Control how your store emails appear in customers' inboxes by setting the sender details:

Navigate to Email Settings

Go to Commerce → Storefront → Email in your dashboard.

Set From Name

Enter your From Name — this is the sender name recipients see in their inbox. Use your store or brand name for recognition (e.g., "Acme Store").

Set From Email Address

Enter your From Email Address — the email address used as the sender. Use a professional address on your domain (e.g., "orders@yourdomain.com").

Save Settings

Click Save to apply your sender configuration.

White-Label Branding
Setting a custom From Name and From Email gives your store a professional, branded appearance. Customers see emails from your brand rather than a generic platform address.

Order Status Emails

Customers automatically receive email notifications when their order status changes. You can customize the content for each status:

Order Confirmation

Sent immediately after a successful purchase. Includes order details, items ordered, and total amount.

Processing

Sent when the order moves to processing status. Lets customers know their order is being prepared.

Shipped

Sent when the order is dispatched. Can include tracking information and estimated delivery dates.

Delivered

Sent when the order has been marked as delivered to the customer.

Completed

Sent when the order is fully completed and fulfilled.

Cancelled

Sent when an order is cancelled. Informs the customer of the cancellation.

Refund Confirmation

Sent when a refund has been issued. Confirms the refund amount and details.

Merchant Notification Emails

Stay informed about store activity with merchant-facing email notifications:

New Order Alert

Sent to the merchant when a new order is placed. Includes order details and customer information for quick processing.

Cancelled Order Alert

Sent when a customer cancels their order, so you can stop processing and manage inventory.

Failed Order Alert

Sent when an order fails due to payment issues or other errors. Helps you follow up with the customer.

Customizing Email Templates

Personalize each email template to match your brand voice and provide relevant information:

Navigate to Email Templates

Go to Commerce → Emails in your dashboard.

Select a Template

Click on the email template you want to customize (e.g., Order Confirmation, Shipped, etc.).

Edit Template Content

Customize the following fields:

  • Subject Line - The email subject customers see in their inbox
  • Heading - The main heading displayed inside the email body
  • Additional Content - Custom text or instructions included in the email

Save Template

Click Save to apply your customizations.

Template Variables
Email templates automatically include order-specific information such as order number, customer name, items ordered, and totals. Your custom content is added alongside these dynamic details.

Previewing and Testing Emails

Before sending emails to customers, preview and test your templates:

Use the Preview option on any email template to see how it will appear to recipients. The preview renders the template with sample data so you can review the layout, styling, and content.

Open Email Template

Navigate to the email template you want to test.

Click Send Test

Click the Send Test Email button.

Check Your Inbox

The test email is sent to your merchant email address. Check your inbox (and spam folder) to review the email as a customer would see it.

Test emails may land in spam folders, especially if you haven't configured a custom SMTP server. If this happens, consider setting up SMTP with proper authentication to improve deliverability.

Merchant SMTP Integration

For fully branded email delivery, connect your own SMTP server. This ensures emails are sent from your domain with proper authentication, improving deliverability and brand trust.

Navigate to Email Settings

Go to Commerce → Storefront → Email in your dashboard.

Enable SMTP

Toggle on the Use Custom SMTP option.

Enter SMTP Details

Provide your SMTP server configuration:

  • SMTP Host - Your mail server address (e.g., smtp.yourdomain.com)
  • SMTP Port - The server port (typically 587 for TLS or 465 for SSL)
  • Username - Your SMTP authentication username
  • Password - Your SMTP authentication password

Test Connection

Click Test Connection to verify your SMTP settings are correct and the server is reachable.

Save Settings

Click Save to activate SMTP delivery for all store emails.

SPF/DKIM Alignment
For optimal email deliverability, ensure your domain has proper SPF and DKIM records configured. Without these, emails may be flagged as spam or rejected by recipient mail servers. Contact your domain registrar or DNS provider to set up these authentication records.

  • Use a custom domain email - Send from an address on your own domain rather than a free email provider
  • Configure SPF records - Add SPF DNS records to authorize your sending servers
  • Set up DKIM signing - Enable DKIM to cryptographically sign your outgoing emails
  • Use SMTP integration - Connect a reputable SMTP service for reliable delivery
  • Keep content professional - Avoid spam trigger words and excessive formatting in your email templates
